PRIVACY NOTICE

The Governance Professionals of Canada (“GPC”) respect your right to privacy and are committed to protecting your personal information. This Privacy Notice summarizes the circumstances under which we collect personal information, the kind of information we collect, and how we may use that information to provide services to you.

WHAT IS PERSONAL INFORMATION?

We consider "Personal Information" to mean any information, recorded in any form, about an identifiable individual or an individual whose identity may be inferred or determined from such information, other than business contact information (e.g. name, title, business address, business telephone and business e-mail address).

WHAT PERSONAL INFORMATION DO WE COLLECT?

The following are examples of information that we may collect, as applicable:

  1. MEMBERSHIP:  Our membership application form requires you to give us your contact information and financial payment information. We use your contact information to keep you informed about our professional development, programming, resources, and your membership.
  2. EVENT/PROFESSIONAL DEVELOPMENT REGISTRATION: when registering for an event or making a purchase, we will generally ask you to provide contact information, financial payment information and preferences regarding the event or material for which you desire to register. Requests for accommodations to our courses or events is treated confidentially. 
  3. ORDER FORM /ON-DEMAND LEARNING: Some “self service” areas of our website may allow you to order products or services directly. In connection with these transactions, we collect data necessary to complete your transaction.
  4. INFORMATION COLLECTED FROM GENERAL USERS:  GPC does not collect personal information from users browsing publicly available portions of our website. Only non identifying aggregate data – (such as the number of hits per page) may be collected. Aggregate data would be used for internal purposes only.

HOW DO WE USE YOUR PERSONAL INFORMATION? 

The information you provide to GPC – such as your name, address, etc. – allows GPC to inform you about events, activities and promotions nationally and locally which may be of interest to you. By becoming a member or by requesting information or registering for events or courses offered by GPC, you are giving GPC permission to contact you by way of the information you provide. Members may choose not to be contacted by GPC by clicking the “Opt Out” radio button with your personal information. DISCLOSING YOUR PERSONAL INFORMATION TO OTHERS

From time to time, GPC shares e-mail addresses (not phone numbers) with our local chapters and certain third parties for one-time use only with consent. GPC will not sell your data to third parties. 

HOW DOES THE GPC HANDLE FINANCIAL INFORMATION?

As part of the event registration and/or membership registration/renewal processes, GPC may receive credit card information (including account number, name, billing address etc.). GPC uses a reputable third-party payment processor to receive and process credit card payments for events and/or membership(s). GPC’s third-party payment processor undertakes commercially reasonable policies and practices intended to protect the financial information of GPC registrants and members and to prevent unauthorized intrusions into its systems. Our third-party payment processor and GPC only retain the last four digits of a registrant’s and/or member’s credit card for verification purposes. Credit card receipts (including company name, company contact, last four digits of credit card account) are retained for financial and audit purposes and are destroyed in accordance with the related record retention standards. 

In addition, GPC receives a small number of paper or emailed PDF payment authorization forms that are processed manually. These paper forms are held securely at GPC’s offices, are destroyed periodically and copies shipped offsite to a third-party records retention firm. Registration, membership, or exhibitor/sponsorship information received via email is retained for the period of time necessary to service a particular event and/or exhibitor/sponsorship and is then deleted. 

COOKIES / TRACKING TECHNOLOGY
A cookie is a small piece of text that is placed on your computer when you visit a website.  Cookies were created so that information could be saved between visits to a website.  They collect and store information about you based on your browsing patterns and information you provide.  Cookies record language preferences, for example, or let users avoid logging in each time they visit a site.  Almost all of the most popular websites use them.  Cookies can be very useful because without them, you would have to enter certain bits of your personal information each time you visit your favorite site.

GPC uses cookies that are necessary to make our website function, to improve performance, and to understand how you interact with our site. Our website and email communications may also use small pieces of code called "web beacons" or "clear gifs" to collect advertising metrics, such as counting page views, promotion views, or advertising responses. 

LINKS TO OTHER SITES 
We may create links to other websites that we think may be of interest to you. We do not endorse any other websites, and this Privacy Notice applies only to your use of our website. We have not reviewed the privacy policies of any websites that are linked to our website, and you should read the privacy policies of each website you visit to determine what information about you that website may collect and use.   

CHANGES IN OUR PRIVACY NOTICE 
By using our website, you consent to our collection and the use of your personal information as described in this Privacy Notice. If we change our Privacy Notice, we will post these changes on our website. You can review this Privacy Notice each time you use this website so that you are aware of any modifications made to these policies. 

CHOICE/OPT OUT 
Our website provides users the opportunity to opt-out of receiving certain or all communications from us. You have the option of reviewing or removing your information from our database, and to no longer receive communications from us. If you are a member, you can express your communication preferences on your personal account page on our website. 
If you have received an email from us, it is because you have previously given consent and you may unsubscribe from e-mails by clicking the unsubscribe link at the bottom of every received email. If you wish to have your account information deleted from our database, please send us an email.

Access and correct your personal information

To request a copy of the personal information we hold on you or to ask us to update or correct your personal information, you can email us at [email protected]. Please be as specific as you can to help us provide a complete and timely response.

If you are not emailing us from the e-mail address we have on file, we may need to request additional information to verify your identity.
